What we collect, why, and the choices you have. We keep our data practices simple: no third-party ad trackers, no selling your data.
This Privacy Policy explains how The Hana Sachiko Company, Inc., a Delaware corporation at 1007 N. Orange St., 4th Floor, Wilmington, Delaware 19801(“we,” “us,” the “Company”), handles information in connection with https://www.thehanasachikocompany.com and our writer application process. If you submit an application, our Submission Agreement also applies.
1. Information we collect
You provide most of it directly when you apply:
- Contact and identity — your name, email address, WhatsApp number, and the links to your online presence that you choose to share.
- Application content — your pitch or writing focus, free-text answers, achievements, and any files you upload (such as scripts or portfolios).
- Technical and usage data— collected automatically, such as a one-way hashed form of your IP address, your browser’s user-agent string, how long the form took, and anonymous metrics about which pages and form steps are used. We do not use third-party advertising cookies or cross-site trackers.
- Derived data — assessments, scores, notes, and analytics we generate about submissions, including with automated and artificial-intelligence tools.
2. How we use information
We use information to:
- receive, review, evaluate, and respond to your application;
- operate, secure, debug, and improve the Site and our application process, and prevent abuse, fraud, and spam;
- perform internal research, analytics, and record-keeping about our intake and our studio;
- develop, train, test, and improve our products, services, tools, and artificial-intelligence systems (including the system we call Hana Sachiko), consistent with the license in our Submission Agreement;
- contact you, including about your application and, where permitted, about opportunities with us; and
- comply with law and enforce our terms.
3. Automated processing and AI
We use automated and artificial-intelligence tools to help read, summarize, score, and analyze submissions, and your submission and associated data may be used to develop and improve those systems. These assessments assist human review; a human makes the decisions about your application. This processing is described further in our Submission Agreement.
4. How we share information
We do not sell your personal information and we do not share it for cross-context behavioral advertising. We share information only with:
- Service providers who process data on our behalf under contract — currently our cloud infrastructure and database provider (Google Cloud), our transactional email provider (Resend), and our artificial-intelligence provider (Anthropic);
- our team and collaborators who need it to evaluate applications;
- authorities or others when required by law, to enforce our terms, or to protect our rights, safety, or property; and
- a successor in a merger, acquisition, financing, or sale of assets.
5. Retention
We keep application information for as long as needed for the purposes above, including ongoing evaluation, our legitimate business and research interests, model and product development, record-keeping, and legal compliance. Anonymized, aggregated, or derived data (including data used to train or improve our systems) may be kept indefinitely and need not be deleted when other data is.
6. Security
We use reasonable technical and organizational measures to protect information, including access controls, encryption in transit, and restricted administrative access. No system is perfectly secure, and we cannot guarantee absolute security.
7. Your choices and rights
Depending on where you live (for example under the GDPR in Europe/UK or the CCPA/CPRA in California), you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. Note that we may retain information where we have a legal basis or legitimate interest to do so, and that anonymized or already-incorporated derived data may not be reversible. We do not knowingly collect information from anyone under 18.
8. International transfers
We operate in the United States and use providers that may process data in the United States and elsewhere. By using the Site, you understand your information may be transferred to and processed in countries with different data-protection laws than your own.
